Automating Client Onboarding: A Real Workflow

How I reduced a 2-hour client onboarding process to 15 minutes using AI + Zapier + Notion.

Client onboarding used to be my biggest time sink. Every new client meant 2 hours of intake calls, document prep, welcome emails, and system setup. Multiply that by 4-5 new clients a month, and you're looking at a full day just onboarding.

The New System

Trigger: Client fills out a Tally form with their project details, goals, and preferences.

Step 1: Zapier catches the form submission and creates a Notion project page using a template.

Step 2: An AI module (via API) generates a personalized welcome guide based on the client's answers — including recommended first steps, timeline, and resource links.

Step 3: An automated email sends the welcome guide, Notion workspace link, and scheduling link for the kickoff call.

The whole thing runs in under a minute. The client gets a better experience, and I get my time back.
